Floor Access & Parent Guidelines

A signed waiver must be on file before anyone may enter the gym floor.

Parents are not allowed past the black gate — only team athletes and Gold Coast staff may go through.

Exception: Parents are welcome on the floor during Moms, Pops & Tots classes!

Restrooms are in the back. Please walk around to the back door. Do not walk across the gym floor unless it is an emergency. When going to the back, you may not watch from inside the back gate or use the ninja equipment. You are welcome to sit on the back patio.

Please keep children off the floor when it is not their class time — it is a safety hazard and a distraction. Please refrain from talking or yelling over the gate to minimize class disruptions. For safety reasons, sitting on the viewing room gates is not permitted.

If you are asked multiple times to step off the floor, you may be asked to leave the facility.

General Liability Waiver

I, , hereby acknowledge that participation in any physical activity at Gold Coast Gymnastics ("GCG") located at 4005 E Main Street, Ventura, CA involves inherent risks, including but not limited to slips, falls, sprains, fractures, and other injuries. I voluntarily assume all risks, known and unknown, associated with participation in classes, open gyms, private lessons, events, or use of the facility.

I affirm that {name} is in good health and physically able to participate in gymnastics and related activities. If {name} is a minor, I confirm that I am the parent or legal guardian and have full authority to sign this waiver on their behalf.

I understand and accept the risks involved.

Indemnification

I agree to indemnify, defend, and hold harmless Gold Coast Gymnastics, its owners, coaches, staff, and volunteers from any and all claims, damages, losses, or expenses arising out of or resulting from participation in any GCG activity, including claims of negligence.

I agree to the indemnification terms.

Medical Release

In the event of an emergency, I authorize the staff of Gold Coast Gymnastics to take all reasonable steps to secure emergency medical treatment for {name} as deemed necessary. I understand that I am responsible for all medical expenses incurred.

Photo and Media Release

I give permission for Gold Coast Gymnastics to photograph or record {name} while participating in classes or events. I authorize GCG to use these images and videos for marketing purposes, including but not limited to social media, print materials, and the website.

Acknowledgment of Gym Policies

I agree to follow all gym rules and safety protocols. I understand that failure to follow staff directions or gym policies may result in removal from the program or facility without refund.

Drop-In / Open Gym / Private Use Disclaimer

I understand that participation in open gym, private lessons, or rentals may not be directly supervised at all times and I assume full responsibility for my actions or my child's actions during these times.

Enrollment & Payment Policies

How Your Class Credits & Bookings Work

When you purchase a monthly membership you receive class credits for that month. For example a Kindergym membership gives you credits to use throughout the month. You can book any available class time that works for your schedule right through your Gymdesk member portal.

You can set your booking to recurring so your spot is automatically reserved the same day and time each week — easy and hands-free! If a particular month has 5 weeks instead of 4 you will be able to book that 5th class too at no extra charge.

IMPORTANT: Class credits expire at the end of the month and do NOT roll over. Any unused credits are forfeited on the last day of the month. Make sure you book and attend all of your classes before the month ends!

If your child needs to miss a class please log in to your portal and cancel the booking so the spot opens up for another family. Make-up classes are not guaranteed but we will always do our best to accommodate you within the same month when space is available. Please reach out to us directly to discuss make-up options.

Your Gymdesk Member Portal

Gold Coast Gymnastics uses Gymdesk as our member management system. When you enroll you will receive an invitation to set up your family's member portal. You can access it here:

Through your portal you can:

◆ View and manage your enrollment and class schedule ◆ Book, cancel, or set recurring class reservations ◆ Update your payment method and billing information ◆ Track your attendance ◆ Submit cancellation requests and message our staff directly

Free Trial Class

We are happy to offer a complimentary trial class as a gift to prospective families! Trial classes are offered at our discretion and are not guaranteed — we reserve the right to limit or decline requests at any time.

◆ Trial classes are completely free — no charge to attend ◆ If you love it and enroll, a one-time $25 Family Membership fee applies at registration ◆ Trial classes are not available through charter school funds

Charter School Families

We are proud to work with many charter school families! Please keep the following in mind:

◆ Please indicate at enrollment if you are using charter school funds ◆ Charter school funds may be used for recreational classes only — team classes require special prior approval ◆ Charter funds cannot be applied to pizza nights, summer camps, or special events ◆ A valid Purchase Order (PO) must be submitted before the start of each new billing month. If a PO is not received in time your card on file will be charged with no refund ◆ You are responsible for any gym fees not covered by your charter. If your charter does not approve or reimburse a charge that balance remains your responsibility

Make-Up Classes

Make-up classes are not a guaranteed feature of our program. If your child misses a class please contact us directly and we will do our best to find availability within the same calendar month. Make-ups are subject to class availability and are never guaranteed.

Cancellation Policy

Cancellation requests must be submitted through your member portal before the start of the next billing cycle. Once the new month begins and your tuition has been charged on the 1st that payment is non-refundable. You are enrolled and paid through the end of that month.

Payment Policy

Monthly tuition is due on the 1st of each month and charged automatically through Gymdesk. Payments not received by the 5th are considered late and a late fee will apply. Please keep your payment method current in your Gymdesk portal to avoid any interruption in your enrollment.

Charter families: A valid PO must be on file before the 1st or your card on file will be charged with no refund.

Tardy Policy

We know life happens and we always do our best to be flexible! However the first 10 minutes of every class are dedicated to warm-up and safety which are essential for your child's wellbeing and progression. Please try your best to arrive on time.

If tardiness becomes a recurring issue we will have a conversation with you about it. Continued and repeated late arrivals may result in being asked not to return to the program. We always prefer to communicate openly — please talk to us if something is going on and we will work together to find a solution!

Right to Dismiss

Gold Coast Gymnastics reserves the right to dismiss any athlete whose conduct or influence is deemed unsatisfactory without a refund.

Severability

If any provision of this agreement is found to be unenforceable or invalid the remaining provisions shall continue in full force and effect.

Acknowledgment and Signature

By signing below I confirm that I have read, understood, and voluntarily agree to all terms listed in this agreement. I acknowledge that I am signing this freely and without duress. This agreement will remain in effect for all future participation at Gold Coast Gymnastics unless revoked in writing.
